How to Book Your Sri Lanka Tour

Quick answer

Booking a private Sri Lanka tour with Vacations Ceylon Tours takes five simple steps. You send us your dates and interests, we reply with a tailor-made route and quote, you adjust it until it feels right, you confirm with a deposit, and we send your final travel documents before you fly. There is no fee for planning, and you deal directly with our local team in Colombo from the first message to your last day on the island.

How booking works, step by step

Planning time depends on your route, decisions and supplier availability. Enquire early for complex trips or fixed travel dates. Here is exactly what happens.

Step 1: Send us an enquiry

Tell us what you have in mind using the enquiry form, WhatsApp or email. The most useful details are:

  • Your approximate travel dates, or the month you are thinking about
  • How many days you have in Sri Lanka
  • How many people are travelling, and the ages of any children
  • What you most want to see or do: culture, wildlife, tea country, beaches, hiking, food or something else
  • The style of accommodation you like, from simple guesthouses to boutique hotels
  • Anything we should know, such as mobility needs, dietary requirements or special occasions

If you are not sure yet, that is completely fine. Many people start with "We have ten days in February and love nature." We will help you shape the rest. If you need ideas first, browse our 7-day, 10-day and 14-day sample routes.

Step 2: Receive your tailor-made route and quote

We reply with a suggested day-by-day route and a clear quote. The route shows where you stay each night, roughly how long each drive takes and the main experiences on each day. The quote sets out exactly what is included and what is not, so there are no surprises later.

Step 3: Adjust it until it is right

This is the part most people enjoy. You can add a safari, swap a town, slow the pace down, change hotels or move a beach stay to the other coast. We will explain the trade-offs honestly, for example when a route has too many long drives or when a coast is out of season during your dates. Discuss revisions before confirming; availability and any effect on the quote will be checked.

Step 4: Confirm with a deposit

When you are happy, confirm your booking using the deposit amount and payment instructions in your written quote. We then confirm hotels, safaris and any trains or activities that need booking ahead. Ask when you will receive written confirmation and which supplier reservations have been secured.

Step 5: Pay the balance and receive your travel documents

The balance deadline is confirmed in your written booking terms. Before you travel we send your final itinerary, hotel confirmations, your driver's name and phone number, and our emergency contact details. Confirm the meeting point and identification arrangements if an airport pickup is included.

What a Vacations Ceylon Tours quote includes

Every trip is tailor-made, so the exact contents depend on what you choose. A typical private tour quote can include:

  • A private air-conditioned car or van with an experienced English-speaking driver for the whole trip
  • Fuel, parking, highway tolls and your driver's own meals and accommodation
  • Airport pick-up and drop-off
  • Accommodation and meals, if you would like us to book them
  • Safari jeeps, train tickets, guides and activities, if you ask us to include them
  • Route planning and support from our team throughout your trip

Things that are usually not included unless you ask us to add them are international flights, your Sri Lanka visa or ETA, entrance tickets to sites, travel insurance, tips and personal expenses. Entrance fees at the major sites change from time to time, so we list them separately. Our entry fees guide shows what to expect.

Payment methods

Ask our team for the available payment methods and any applicable bank charges before paying. Use the payment instructions in your written quote.

Cancellations and changes

We understand that plans change. Ask for the cancellation and refund terms that apply to your particular hotels, activities and transport before confirming.

If you need to change your dates rather than cancel, contact us as early as possible. We will always try to move your booking rather than cancel it, although hotels and safari operators have their own rules that we have to follow. Our full terms and conditions explain everything in detail.

We strongly recommend travel insurance that covers cancellation, medical care and any activities you plan to do, such as rafting, diving or hiking.

Why book directly with a local company

Booking directly with a Sri Lankan company means you speak to the people who actually run your trip. There is no overseas middleman adding a margin, and decisions are made by people who know the roads, the seasons and the hotels personally. If you are comparing options, our guides to local versus international tour operators and questions to ask a travel agent explain what to look for.

Before you travel: your checklist

Once your booking is confirmed, these are the things to sort out on your side:

  1. Visa: most nationalities need an Electronic Travel Authorisation before arrival. Read our Sri Lanka ETA and visa guide.
  2. Flights: send us your flight numbers and arrival times so we can plan your airport pick-up.
  3. Insurance: buy travel insurance as soon as you book.
  4. Money: read our guide to money in Sri Lanka for cash, cards and ATMs.
  5. Phone: a local SIM makes it easy to stay in touch with your driver. See our SIM card guide.
  6. Packing: use our Sri Lanka packing list, including modest clothes for temples.
  7. Final details: check your final itinerary and tell us about any last changes.

What happens on arrival

Your driver will be waiting outside the arrivals hall at Bandaranaike International Airport with a sign showing your name. They will help with your luggage, give you a quick welcome briefing and take you to your first hotel. Confirm how flight delays, waiting time and any charges are handled in your booking. You can read more about the transfer itself on our airport transfers page.

Support during your trip

Your driver is your main point of contact on the road, and our team is available on WhatsApp throughout your trip. If something needs to change, such as a hotel you are not happy with, a day you would like to slow down, or heavy rain that changes your plans, tell us so we can discuss available alternatives and any costs. Many guests adjust small parts of their itinerary as they go, and that is part of travelling privately.

Travelling with children, older travellers or special requirements

Tell us about any special needs when you first enquire, so we can plan around them from the start. We can arrange child seats, shorter driving days, ground-floor rooms where available, and gentler activities. Families may find our family tour and our guide to Sri Lanka with kids helpful.

How far ahead should you book?

For travel between December and March, and in July and August, we recommend booking two to four months ahead. Popular boutique hotels, safari camps and seats on the Kandy to Ella train sell out first. Outside these months, a few weeks is often enough. We can also arrange last-minute trips, but your choice of hotels may be smaller. Our best time to visit Sri Lanka guide explains the seasons.

Check your written quote before paying

Compare the itinerary and quote together, not just the headline total. Check the number of nights, each overnight town, pickup and drop-off locations, room arrangements and whether the price is for your whole group or each traveller. Identify which meals, site tickets, guides, trains and safari jeeps are included. A proposed route is not evidence that a hotel room or reserved train seat has been secured.

Ask for the deposit, balance deadline, cancellation terms, supplier restrictions and any payment charges in writing. If a hotel is offered as “or similar”, ask how alternatives will be agreed. Confirm whether a change would alter the total before accepting it. Keep a copy of the agreed version so there is a clear reference if travel dates or services change.

Payment verification and arrival arrangements

Before sending money, verify payment instructions through the contact details you have already used with our team. If account details change unexpectedly, pause and confirm them independently rather than replying only to the message containing the change. Request a receipt and booking confirmation, and check that they identify the correct travellers, dates and services. Do not send card security codes or banking passwords in a travel enquiry.

An airport pickup needs your flight number, arrival date in Sri Lanka and first hotel address. A departure flight needs a separate pickup plan with time for traffic and airline check-in. Discuss flight delays, waiting time and any charges before confirming. A pickup is part of your booking only when it is listed in the agreed services; do not assume every guide or transport enquiry includes one.

Frequently asked questions

Do you charge for planning a trip?

No. Planning, route changes and quotes are free. You only pay once you decide to book.

How much deposit do I need to pay?

The deposit amount and balance deadline are confirmed in your written quote before you book.

Can I change my itinerary after booking?

Ask the team to check the requested change. It depends on reservations, supplier terms and availability; confirm any additional cost before agreeing.

Is it safe to pay a Sri Lankan company directly?

Verify the company and payment instructions, read independent reviews and use a traceable method. Request written confirmation and a receipt; direct payment is not automatically risk-free.

Can I book only a car and driver, without hotels?

Yes. Many guests book their own hotels and ask us only for a private driver. We can also book everything for you.

What if my flight is delayed?

Share the flight number and discuss delay handling before booking. Waiting arrangements and any charges must be confirmed in your written quote.

How do I start?

Send us a message with your dates and interests through our contact page or WhatsApp, and we will reply with ideas and a quote.

Does asking for a quote reserve my trip?

No. An enquiry or draft itinerary does not confirm reservations. Ask which services are confirmed and which remain subject to availability before paying.

What should I check in the total price?

Check currency, per-person or group basis, dates, room arrangements, meals, transport, activity tickets, exclusions and any payment charges.

How should I verify payment instructions?

Confirm them with the team using established contact details. Pause if bank details change unexpectedly, and request a receipt and written booking confirmation.
